Activate Multiple Space Workflows and Apply Them Based on Labels

Imagine your organization’s Confluence space serving as the central hub for all company policies and procedures. Policies need legal approval, while procedures require IT and Security sign-off.

Now, with enhanced workflow automation, you can have multiple workflows within a space and apply them automatically based on their labels. Assign labels like legal-review to ensure the right workflow applies to the right content. You can even exclude specific labels to refine targeting, giving you precise control over your document approval process.

Automate Label Management with Trigger Actions

Labels can do more than just assign workflows — they help organize and highlight critical content when it matters most. By tagging pages with relevant regulations or standards (like gdpr or dora), you can streamline audits and reviews for faster, easier compliance checks. With our newly added automated label triggers, you can manage label application consistently, reducing manual effort and minimizing errors.

• add-labels: Automatically apply labels based on workflow events.

• remove-labels: Automatically remove specified labels.

• clean-labels: Wipe all labels from a page.

*Fun fact: You can take your workflow even further by connecting with Confluence automation! When a label is added, you can trigger actions like archiving a page or updating data classification in Atlassian Guard. 

Display Approved Content

Outdated or in-progress policies spread misinformation, causing confusion, inconsistent practices, and compliance risks. With the latest update, you can copy finalized documents into a dedicated, access-controlled space — ensuring employees see only audit-ready content.

• copy-page: Automatically create a duplicate of a page upon approval. Choose to place the copy under the current page or in a specific space.

Control Page Access with Restriction Actions

Controlling who has access to the right content at the right time is essential for maintaining compliance. With restriction actions, you can manage document visibility and editing permissions to protect sensitive information.

For example, once a page is labeled audit-ready, you can lock editing, remove the compliance team’s edit access, or restrict it to read-only — ensuring secure and compliant content management.

• add-restrictions: Grant view or edit permissions at specific workflow stages.

• set-restrictions: Replace existing permissions with new ones in a single action.

These updates are designed to solve document management pain points while enhancing control, compliance, and productivity.

Could you let us know if any improvements are made with the Electronic Signature component of Comala. Labeling feature now bridges the gap to some extent Comala Cloud had with the Comala DC. , The Electronic Signature improvement is also required, as currently there is no Audit trail anywhere on which solution has been used to verify the Signature part. Having a proper audit trail of these events in full is required for us to be Compliant, without which we are unable to move forward. Shall look forward to seeing that development in near future. Actually waiting for 1+ years, the wait got extended due to the Company take over I guess. Best Wishes.

Comala Documents is a very flexible tool that is designed to address approving docs for a wide variety of customers.   However it was not designed first for high compliance and regulatory environments.

If your team needs QMS (Quality Management System) level controls and auditing,  you may want to look at eSign Document Management & Training.   This app contains a robust Document Control workflow with an Electronic Signature engine that supports customers achieving part 11 compliance.   It includes a comprehensive audit trail on all document activities.

eSign Documents also contains a training module for formal assignment, tracking and retention of training records to ensure every person has been trained or Read and Understood each revision of the controlled documents.
