Workflow in Confluence with specific (changing) users

Hi, 

I have the following problem:

  • a user writes meeting notes (maybe also with transcripted recording)
  • he mentiones the participants (maybe also external users who are not in the company. These are notified by email with the request to give feedback
  • within a defined duration, the users can give feedback
  • after the end date, the status of the protocol is set to finalized and is sent to all participants

Any idea how to do this?

Do you have recommendations for apps?

Maybe a Jira ticket in the portal would be also a better idea?

Avi posted something similar so you might want to check this out > Fully Automating Customer Feedback Collection & Propagation 🚀 (not exactly your requirement, but you might get some ideas).

As for these mentions and users who need to see the page/content in Confluence, it get's a bit tricky if those are not constantly licensed users. Meaning, if these people should only be licensed for specific period of time. Automating these requires (from my knowledge), some playing with APIs.
Also, you cannot mention the user if they don't have the Confluence license; that's if we're talking about the Confluence native mentions feature.

Confluence automation can probably handle restricting the page or some additional actions there.

As licensing is the biggest issue I can see at the moment, I'd probably go with a JSM-oriented solution where you can have those users as customers and from there, they could write down their feedback.
Confluence guests could also be a way forward, but generally, this also requires some advanced configuration and setup.

Maybe someone here did something similar, so they can share their experience on the matter.
