Automation: Pull data from linked issues back to the idea

There are a number of fields on the Jira work ticket that is created from the idea, that I would like to auto update back on the idea.

For example a common workflow is to create an idea, review, prioritize and then generate a jira work item which is then groomed.

It would be great, once groomed to pull in the story points back into the idea.

And once the jira work item is added to a sprint, pull that sprint name/number back into the idea.

The PMs use the JPD boards to track work from idea through to delivery, not just at the start of the work flow.

Hey Gavin,

In the "Global automations templates", in the Product Discovery section, there is one named "When a delivery ticket is done → mark idea as done".

reuse this one as the base, and then just add the fieldsyou want to copy over. i just tested with copying the story points and it's working.

@Gavin Steele - The feature you suggest would be helpful for my use case too.

Hi @Gavin Steele

What have you tried thus far to meet this need?

If you have a rule that is not working as expected, please provide the following for context:

  • what is the type of your software project with the work items linked to the JPD Idea: company-managed or team-managed?
  • how many work items are linked to the Idea: one-and-only-one, or many?
  • an image of your complete automation rule (in one image file for continuity)
  • an image of the audit log details showing the rule execution
  • describe what is not working as expected, and why you believe that to be the case

If you have not started a rule yet, I recommend trying to do so.  Successfully using automation rules requires learning and experimentation.  To get you started:

  • You likely will need multiple rules, triggered on the different field changes you want to synch to the Idea.  And that is just the basic case; if you also want to handle unlinking work items or deleting work items, that will take more rules.
  • The rules will need to be multiple-project (or global) in scope, and so your Jira Site Admin will need to help set that
  • The general outline of the rules could be:

That will work for one work item updating one field.  When multiple work items are involved, such as summing the story points to the Idea, a Lookup Issues action with JQL will be needed also.

Kind regards,
Bill
