Updating fields from a Spreadsheet

We have a server based JIRA setup with Service Desk, Portfolio, Confluence, Software and X-Ray license.  

I would like to develop a project that our facilities management team can use to email external vendors.  

Goal:  

Pass location and issue type (fields in JIRA) to a spreadsheet, SharePoint List or JIRA table (that can be maintained by a non-Admin) and receive back Vendor Name and Vendor Email.

Our issue is we do not want to maintain an ever changing vendor list for the department.

We are new to JIRA and have not written any code or utilized any APIs yet.  Do  you have any recommendations on a plugin that could accomplish this? Even better, do you have any recommendations for a company we could hire to do this simple task for us?

There are multiple options here, you could use REST API and write your own integration, you could use an external database and a app that uses this external database to populate fields (I use Elements Connect but there are other apps that does the same thing). You could also use Excel Connector to have your facility team update issues directly in Excel and sync it back to Jira. Another option would be one of the many CRM apps available. I have used Insight before, it is not listed as a CRM app, but it can be used as such.

If you want someone to help you with the implementation, I would suggest you contact one of the many Atlassian partners.

Hi @Calisa Hughes,

Similar to one of the options that Mikael mentioned, I would also recommend trying out a CRM or Asset Management app. You can simply treat your vendors, their locations, etc. as assets in Jira. Therefore you could even manage multiple locations per customer.

One of our apps, STAGIL Assets - Advanced Links, lets you manage your assets in Jira and it also has the functionality to create dynamic fields in your issues. This way, you could have a location field and based on the selected location you could only select a certain subset of vendors (assets) and show their information like name and email in the ticket.

As you mentioned that you need help with that task: If it is only about configuring this use case with the add-on, most add-on vendors are probably willing to help you for free to a certain extent.
