Hello,

I need to get the spent time per assignee in a dashboard, including the time of the subtasks. I currently have a Workload Pie Chart, but it does not include the subtasks. How can I solve this?

If you’re open to using add-ons, 
Time in Status can be solution for you.

1. Use Assignee Time Report which shows you how long each assignee has been working on each issue.

I'm not personally aware of a good built-in way to do this in Jira - but perhaps someone else has an idea.

Alternatively, if you're open to solutions from the Atlassian Marketplace, you'll have options available. E.g., you may want to check out the app that my team and I are working on: JXL for Jira.

JXL is a full-fledged spreadsheet/table view for your issues that allows viewing, inline-editing, sorting, and filtering by all your issue fields, much like you’d do in e.g. Excel or Google Sheets. It also comes with a long list of advanced features, including support for issue grouping by any issue field(s), and sum-ups.

With these, you can build a view like e.g. this in just a couple of clicks:

This is really just one of a virtually endless number of possible views and reports; you can also view and group by any other issue fields, configure different sum-up styles, etc. etc. As every JXL sheet is powered by a JQL query or saved filter, you have full control over which issues you want to be included - i.e., you can easily include sub-tasks, too.

I should also add that JXL can do much more than the above: From support for configurable issue hierarchies, to conditional formatting, or inline bulk editing via copy/paste.

Hi @Arnelys ,

You can create a filter in Jira to display the relevant subtasks and use it with the "Filter Results" gadget on the Jira dashboard. By adding the Parent, Time Spent, and Assignee columns, you can easily analyze the worklogs. However, as identifying all subtasks can be challenging, I recommend using a time tracking app from the Atlassian Marketplace, such as WorklogPRO. With its hierarchical grouping feature, you can select the parent issue to group subtasks with their parent issues and display the recorded worklogs on the timesheet report dashboard. Additionally, you can filter by user or include the "Assignee" field in the report for more efficient analysis of time spent based on worklog entries.

Jira’s Workload Pie Chart does not include subtask time by default, but there are a few ways to achieve this:

1. Using Jira's Built-in Reports (Limited Approach)

  • You can use the Time Tracking Report, which includes both parent and subtask work logs. However, this report is not available on dashboards.
  • Alternatively, you can try using the Created vs. Resolved Chart to track overall workload, but it does not break down time by the assignee.

2. Using Jira Automation

  • You can create an automation rule to sum up subtask time and add it to the parent issue using a custom field.
  • This will allow you to query and display the total time spent per assignee using custom JQL in your dashboard gadgets.

3. Using Time in Status Apps for Better Tracking

If you need a detailed and automated breakdown of time spent per assignee, including subtasks, Time in Status apps like Timepiece - Time in Status for Jira, developed by our team at OBSS, can help:

  • The Assignee Time Report tracks time spent per assignee, including subtasks.
  • You can group the report by the assignee to see a total workload overview.
  • The data can be exported or visualized in a dashboard-friendly format.

You might consider using time-tracking apps that in most cases have a customizable report of tracked time on issues.

I can recommend our Clockwork Automated Time Tracking & Timesheets Pro or Lite app, which allows you to track time for individual users across the projects, and this data using timesheets and create reports that can be configured in various ways using break-down and filtering options.

Using timesheets, you can create a report and filter it based on several options including, projects, issue types, issues labels, or other fields. You can choose a range for a whole year and break down the data by chosen fields. This information can be also exported to Excel files.

Please find below the sample of how the timesheet looks like:

Hi @Arnelys

Jira doesn't have a built-in solution for the report you mentioned. You can try Status Time Reports app developed by our team. It mainly provides reports and gadgets based on how much time passed in each status.

Here is the online demo link, you can see it in action and try without installing the app. For your case, you can have a look at Time in Assignee report to get how much time each assignee spent in each issue (tasks, sub tasks etc.).

App Features:

  • This app has a dynamic status grouping feature so that you can generate various valuable reports as time in status, time in assignee, status entry dates and status counts, cycle time and lead time, resolution time, average/sum reports by any field(e.g. average in progress time by project, average cycle time by issue creation month).
  • You can search issues by Project, Issue Type, Status, Assignee, Issue Creation/Resolution Date(and any other Date field) and JQL Query.
  • Status durations are calculated according to the working calendar you define. Once you enter your working calendar into the app, it takes your working schedule into account too. That is, "In Progress" time of an issue opened on Friday at 5 PM and closed on Monday at 9 AM, will be a few hours rather than 3 days.
  • You can set different duration formats.
  • You can export reports in CSV file format and open them in MS Excel.
  • You can also add this app as a gadget to your Jira dashboards and reach “Status Time” from Issue Detail page.
  • You can enable/disable access to Status Time reports&gadgets and Issue Detail page per project, users, groups or project role.

I found other solution!

To make the dashboard workload pie chart, I was using a filter that included the subtask issue type, but I changed it to sub-tasks and I was able to get the data I want, the spent time by Assignee

project = 'X' AND sprint = "X" AND issuetype IN (Task, Bug, Story, Sub-Task) ORDER BY created DESC

just change subtask by sub-task

I was creating an automatic rule to get the sum of the spent time of its children in the parent, but in the end I have to look at the sum of that time of the parent in the backlog for each dev for each user story that has sub tasks and add it to the rest of the time that the workload pie shows me in each dev, in the workload pie dashboard it is allowed to add the spent time but not for the sub tasks.


However, something curious is that I made an automatic rule to get the sum of the original estimate of the sub tasks in the parents and when creating this type of dashboard it shows me the original estimate of those parents, but it does not work like that for the spent time
So far I think the definitive solution is to go to the marketplace and choose one of the applications that you show me in your answers.

You're absolutely right! Jira’s default workload pie dashboard does not include spent time from sub-tasks, and automation rules can only do so much when it comes to aggregating time-tracking data.

Since your rule successfully sums the original estimate from sub-tasks to the parent but doesn’t work the same way for spent time, this is a known limitation. The best approach, as you mentioned, would be to explore Marketplace apps that provide detailed time-tracking and workload analysis.

If you're looking for a reporting solution that can sum up spent time from sub-tasks and visualize workload effectively, you might want to check out apps like Timepiece - Time in Status for Jira or other advanced workload tracking tools available on the Atlassian Marketplace.
