My team uses Structure.gantt, which doesn't have a great UX for viewing out-of-office (OOO) time for individual resources/people. I'm trying to find a workaround that will allow me to represent OOO time in the 'Gantt View' for each resource.
To represent OOO time in Structure.gantt, you have to set a person's capacity to 0% during the dates that they plan to be OOO. You do this by setting values in the "Available Date Start", "Available Date End", and "Capacity" fields in that view. The poor UX is that this is not visually represented in the gantt chart and leaves a blank space in the 'Resources' pane.
Instead, I would like to create a new issue type called "OOO" with fields like "OOO Start Date" and "OOO End Date". When this issue is created, I want to have Jira update the person's "Available Date Start" to the value entered in "OOO Start", "Available Date End" to the value entered in "OOO End" and then set their capacity to be 0% during that time.
Can Jira do that ?
Hello Eric,
Something like this could be implemented to update Resource’s Availability automatically, but since tasks can’t be scheduled to periods when Resource is unavailable, the desired scenario won’t solve the problem with the gap in the Resource Allocation panel - tasks will be shifted and expanded to address the change and the gap will still be there.
We would recommend to try a slightly different approach here: to create the ‘OOO’ type of task but schedule it as a regular task. The idea here is to load a Resource with work in time period that is covered by this task, but to use it to actually represent the unavailability period. This doesn’t change Resource’s capacity value, but it can work as an indicator on a chart and it fills the said ‘gap’. Additionally, a Slice can be created to highlight ‘OOO’ type tasks with specific color for better visualization.
As for the problem itself - we do have an improvement in our backlog to address it and implement a way to display non-working Resource time on a chart. If you would be interested, we can notify you directly once it is released.
Please feel free to ask more questions if you have any. You can reach us at our Service Ask portal - support.almworks.com - and we’ll get back to you shortly.
Best regards,
Stepan Kholodov
