Setting up a Jira business project, to use the Jira cloud mail server for ticket notifications.

Hello everyone,

I have been asked by my manager to look into how to configure a Jira business project, so the project can use the default Jira cloud mail server(jira@yourcompany.atlassian.net), to allow the project to generate emails from its notification scheme(e.g. such as when a ticket notes is updated the reporter, assignee and watchers will receive an email containing the new ticket note). The staff member who originally setup our company’s Jira projects has since moved on.

The project in question is using the same default notifications scheme as another company project (which is using a company mailbox), which has no issues generating emails from ticket updates. So, I believe the notifications scheme applied to the project itself is fine. The email for the notification scheme for this project has been set to the default mail server address(jira@yourcompany.atlassian.net).

I’ve checked the project’s email audit, which displays a “there are no unsent item to display” message on the log page.

There appears to be no way to modify the “Default Cloud Mail Server” profile, on the System>Incoming Mail setting page. On the same setting page, it shows that a mail handler has not yet been created for the project.

So the two questions I have are:

Is there any additional steps(besides creating the mail handler) which would still be required to be undertaken, to use the default cloud mail server for the project's notifications?

If you would know of a convenient online guide, on how to setup a mail handler for a Jira project?

Hi @John Baston and welcome to Community!

If I understand correctly, you have created a new project and associated with it an existing notification scheme that has been customized (it's not the standard ootb notification scheme). I don't think you need to be modifying anything on the incoming email server.

If you have some projects that should send notifications from one email, and other projects (such as this new one) from a different email (the standard notification email), you will need to set up different notification schemes. Follow these instructions to create a new notification scheme, that you can then assign to the new project.

Once you have done that, when you check the notification settings for your new business project, you should NOT see that it is shared by other projects (my screenshot shows what your project probably currently looks like with a shared scheme).

Hello, Good day.  Settings >> System >> Incoming >> mail handlers are used to create new work items by sending an email to Jira email address. But I believe you are facing issues with notification not working when new issue is created on a project. The same notification scheme is used in other project where notification is working fine. This could be an issue with workflow not triggering events.

 

Please check the post function on the workflow and make sure the event is triggered.
