Forms, Approvals, Dropdown in JSM

Hi Team,

I think it's better to ask the questions here and I found this community useful.

So coming to the issues.

Our team is facing issues with JIRA by certain issue.

Coming to the story, we created a JSM project  and created workflow, issue type, forms and everything.

But facing difficulties,

1. In JSM, we created a form and used field (User-Picker) Single and Multi and I needed this field to be added in Approvers or approver group. But its not reflecting in the Include approval Drop-Down.

2. I created a Custom Field separately and tried to add in JSM project forms, there is no option for that.
So we are facing difficulties in these. Please suggest us the best answers for this issue.

Also the other thing is We need to set Approver's differently.
For Eg: To Do(1st Approver) --> In-Progress(2nd Approver) -->Final-Stage(3rd Approver) --> Done.

So for every transition, the approvers will be changing, Is there any possibilities for achieving this ?

Hi Santhosh,

Can you provide some screenshots? That will help us to tell what is going on. 

1. I think you probably need to create an automation rule that will copy the values of the fields in your form to the Approvers field.

2. How are you trying to add the field? 

3. You can create multiple automation rules that will execute on Issue Transitioned to each status and populate the Approvers field at that point.

For Example:

When an Form is submitted by a user, it creates a ticket and lands as per the workflow we set.

I have a Workflow of three approvals

To Do(Approver1) --> (Junior Manager)(Approval2) --> (Senior Manager)(Approval3) -->

(Management Head)(Approver4)..

So by this way we designed. So our goal is like 

==> The Approver 1 and Approver 2 is more than a member of 150, So that becomes a issue, but we can split it in automation by setting a custom field department.
The problem here is, will it fetch the approver automatically and

I have like 4 types of approver of every transition.

 So by this way, it comes little mess around here. 

1. If we create a group and add the members in the team, will it be fetched by department and update the approvers.

2. I tried automation, but unable to update the groups in it or I'm reaching in a bad way.

Please give me a better solution for this..

For steps 1 and 2, since there are so many people, I would change the Approval step to use the Approver groups field instead of the Approvers field. Then put in the group that contains the appropriate people for each status. 

Let's do that first and see if that works for those steps for you.
