We have a form that we'd like to email to specific users that we don't want to appear on our portal (i.e. create issue direct). When we email it to users, it requires them to log in to fill it out, whereas forms listed under request types in our helpdesk portal don't require users to log in.
I think this is because on our normal helpdesk forms, when not logged in users are asked to provide the following field: "Email confirmation to".
Is there a way of making it so our unlisted forms don't require users to be logged in to submit via them? Perhaps by somehow incorporating the "Email confirmation to" field?
Hi @Samuel Ivko
For your use case, Smart Forms for Jira could be a great solution. Here’s how it can help you securely share forms with specific users without requiring them to log in:
Link-Based Sharing: Forms created in Smart Forms for Jira can be shared via a direct link, making them accessible only to people with that link. This keeps your form unlisted from the portal, and you can choose whether users need to be logged in to your Jira instance to access it for an extra layer of security.
One-Time External Sharing from Issue View: You also have the option to share a form directly from an issue. When shared this way, the form link is valid for only a single submission and expires after one month. This is helpful for controlling access when sharing forms with external users.
JSM-Style Functionality: Smart Forms can work similarly to Jira Service Management (JSM) forms, allowing you to create issues and map form fields to issue fields as needed. This makes it easy to capture information and ensure it’s automatically organized in Jira.
Internal Access Controls: If needed, you can also restrict access to the form and responses for internal view only. This ensures that sensitive data stays within the users with access.
This setup gives you flexibility in securely sharing forms with external users while keeping control over access and visibility.
Let me know if you'd like more guidance on setting it up!
Hi @Samuel Ivko ,
To my knowledge, you cannot make these forms 'public' in a way that users do not have to leave an email. There's a feature suggestion for it though: https://jira.atlassian.com/browse/JSDCLOUD-11179
There might be some 'workarounds', like allowing public access to project(s). With this, any not logged-in reporter will appear as Anonymous, but I've personally never tested this on JSM projects, only JSW ones.
Additionally, you can check Atlassian Marketplace. I think this app supports public forms.
Cheers,
Tom
