Is there a way to have issues automatically re-assigned when someone is out of office?

Tori Griffith April 27, 2023

I have issues auto assigned to go out between a list of people. I would like it if someone were out of office for their issues to be auto assigned to someone else. Is there a way for JIRA to do this? We use slack so I'm wondering if someone was logged out maybe JIRA can read that and not assign any issues to that user until they've logged back in.

Hi @Tori Griffith

Welcome to the community.

Jira does not have a built-in feature to automatically reassign issues from one user to another based on the user's availability status or out-of-office status. However, there are a few options you can explore:

  1. Jira automation: You can use Jira's automation feature to create a rule that reassigns issues from a user who is marked as "out of office" to another user. To do this, you would need to set up a way to mark users as "out of office" in Jira. This could be done by adding a custom field to user profiles or by using a third-party app that allows users to set their availability status. You can then create a Jira automation rule that triggers when an issue is assigned to an "out of office" user and reassigns the issue to another user. However, this solution would not be able to detect if a user is logged out of Slack.
  2. Slack integration: If you have the Jira for Slack app installed, you can use it to create a Slack bot that can reassign issues based on user availability status. You can set up the bot to monitor the status of Slack users and automatically reassign their issues if they are marked as "away" or "offline". However, this would require users to set their status in Slack, and may not be able to detect if a user is logged out of Slack.
  3. Third-party app: There are a number of third-party apps available in the Atlassian Marketplace that offer advanced automation and scheduling features for Jira. Some of these apps may have the ability to reassign issues based on user availability or out-of-office status. You can search the Atlassian Marketplace for "Jira automation" or "Jira scheduling" apps to find options that may meet your needs.

Ultimately, the best solution for your team will depend on your specific requirements and workflows. It may be worth exploring multiple options and testing them out to see which one works best for you.

I hope this helps!

@Heather Ronnebeck  Do you know how I would create a custom field to add to users profiles?

Hi @Tori Griffith ,

I'm the product manager of Out of Office Assistant for Jira cloud, and it seems like you could benefit from the app for this use case.

  • When a user goes on vacation, they can activate an out of office rule that reassigns any new issue that is assigned to the leaver to a coverer. The leaver can also bulk reassign existing issues assigned to him
  • We have an app for Slack. With it, you can create an out of office rule for Jira from Slack, so that the rule activates or deactivates with your Slack status. Currently we support the palm tree and sick face statuses.

Let me know if you'd like to know more.
