Dynamic forms with dropdown menu linked to assets in JSM Cloud

Robin Grantz March 19, 2025

Hello,

we're using JSM cloud with a customer portal in combination with the inbuilt asset management to organize and track our technical equipment.

Now in this said customer portal, we want to dynamically change information and available fields depending on a dropdown menu linked to assets. In the standard form creation, sections are used to create dynamic forms - however, it is a bit difficult in our case to use conditions from the assets in that dropdown menu as it holds double values which are displayed depending on another dropdown menu and it can't even load all of these assets in the conditions in the form editor. Ideally we would want to edit the displayed information itself instead of using sections anyway, but I am aware that this might be difficult to accomplish.

I've looked into different apps for my functionality, but there's always something missing:

- Extensions for Jira --> Conditions are a bit more detailed, but having every dynamic field at the end of the form is not usable for us.

- Dynamic forms for Jira --> Doesn't support JSM for cloud

- Smart forms for Jira --> Couldn't find any option to link it to Assets, also design options seem to be very limited for the form.

- ScriptRunner --> We couldn't get it to work within the customer portal; The script won't excecute at all upon loading or changing the form on the portal. There's very little information regarding its functionality with that.

Is there any functionality within JSM, one of these apps or another app that can get us closer to what we want to do?

Thanks in advance for any help you can give us!

Hi @Robin Grantz

👀 Regarding Smart Forms for Jira:

We’re actively working on Assets integration and plan to release it in the Q2. This will include the ability to populate dropdowns from Assets, set conditions based on asset fields, and map form data back to Jira custom fields—including Asset fields.

In the meantime, we’d really appreciate your feedback:
👉 You mentioned design options felt limited in Smart Forms—could you share what exactly you were missing?

👉 What’s your primary use case for Assets in the form—are you trying to select linked hardware/software and display context-specific fields or validation based on the selection?

We’d love to understand your ideal scenario so we can better align our upcoming Assets support to meet real-world use cases like yours.

Thanks again for sharing—looking forward to hearing more! 🚀

Hello @Olha Yevdokymova_SaaSJet ,

thanks for the message!

Although it's still not our ideal solution, maybe we can work with that feature. We'll take another look into it once it's released.

We were mostly missing or couldn't find the option to insert tables with multiple fields in a row. We use the customer portal for internal purposes; Our teams can order technical equipment that is delivered to multiple dropdown menus from our asset management. There is a numerical field in the same row to indicate the amount of that equipment that is required, that's where we need the tables or other design options for (bundled fields in Dynamic Forms for example, though they were lacking the asset link).

Hi @Robin Grantz

I work at the company developing the Extension for JSM and Dynamic Forms for Jira, so I can give you some information 🚀:

Extension for JSM : You can add all fields from RT to the dynamic form. If the fields are not made dynamic, you can freely manage their order.

Dynamic Forms : We are working on supporting JSM. According to Atlassian's latest updates, the API enabling dynamic field display in JSM projects is expected to be available by late 2025.

Hello and thank you for your reply.

Our dynamic fields can not be at the end of the form though, that is the issue. We could replace most of our other fields with dynamic fields, but is there any way to link custom fields / asset links to the bundled fields in Extension for Jira?

We might just wait for Dynamic Forms to be available in JSM Cloud, as at least judging from the description it offers exactly what we want to accomplish.

@Robin Grantz

Hi Robin,

Unfortunately, we can't adjust the placement of dynamic fields at the end of the form due to technical JSM limitations.

Regarding linking custom fields or asset links to bundled fields: this feature is currently not available in Extension Cloud (though it is available in DC). I've included a link to the relevant chapter in our documentation on using Bundled Fields in automation rules . You might find something useful there. I'm really sorry I couldn't help more.
