Hello,
Need help please,
Is it possible to hide a customer form so that it is not visible via the portal, but with a direct link it can be accessed and requests created?
I'd like it to be accessible only if customers have the link.
Tryed with removing groups and it is hidden but with the direct link it shows the error this request doesn't exist.
Can you help me to achieve this goal please?
Regards
Hola @Valiantys Support
To make a form invisible on the help portal but still accessible via a direct link, I would try configuring issue security.
Each request type linked to your help portal allows you to define who can see the forms and who cannot. My recommendation is to use organizations to set access restrictions.
To configure this, follow these steps:
This way, only those with the direct link will be able to access the form.
I have attached some examples below in the form of images to what i am referring to.
1)
2)
3)
4)
Clarification: I'm not sure if this will work for certain, but testing it won't hurt. On the other hand, with email requests, you can't hide who can see them; it must be another type of request.
Hello
Thanks for your answer. May be you are using Jira Cloud not Jira data center because I don't have the option ;

In Jira Service Management (JSM), a request type must be visible to at least one group or organization in order to be accessible, even via a direct link. If you remove all groups, the request type becomes completely inaccessible, leading to the "This request doesn’t exist" error.
If you need a form that is hidden from the JSM portal but still accessible via a direct link, you can achieve this using Smart Forms for Jira.
✔ Keep the form hidden from the JSM portal
✔ Share a direct link with customers so they can submit requests
✔ Automatically create JSM requests from the submitted form
✔ Control who can access the form (limit access to certain users/domains if needed)
1️⃣ Create a Smart Form for the request type.
2️⃣ Enable External Sharing – Generate a public link that can be shared with customers.
3️⃣ Enable "Create New Issue" in JSM – Ensure the form automatically creates a JSM request when submitted.
4️⃣ Remove the Request Type from the Portal – Keep it available only via the Smart Form link.
🚀 Outcome: The request is invisible on the JSM portal but fully accessible via a direct form link, ensuring only customers with the link can submit it.

Hello @Valiantys Support
The response is based on Jira Cloud, so if you're trying to perform the same action in Jira Server, the steps may vary a bit. I sincerely apologize, but I’ve never had the opportunity to use Jira Server to assist you from that perspective.
