Hello Community,

Is there a way to move all assigned issues from one user to group of users utilizing balanced workload rules? Is this possible?

Regards

Hi @Iago Rodrigues Salvadori,

I'm the product owner of the Out of Office Assistant for Jira Cloud. This app provides a functionality that works very similarly to what you're describing:

  • User A goes on vacation and creates an Out of Office rule where he essentially states the duration of the absence, who should his tasks be reassigned to while he is away, and from which projects / JQL filters.
  • Once the rule is saved, the User A can click on the blue icon in the rule to make a bulk reassignment of all his currently open issues. The issues will then be distributed among his coverers fairly. For example, if there are 25 issues and 5 users, each user should get 5 issues.

Reassignment for open issues - action icon

  • Issues that are newly assigned to user A will also be distributed among the selected coverers. We use round robin for that one.

If balancing workload is very important to you, you can also build some gadgets to visualize how many issues the app has reassigned to each user and monitor that.

Is this something that would work for you? I have to admit that right now you can't simply pick a group for backup -- you would have to manually pick each group member. But it's pretty high up in our backlog and it's something we'll probably implement in the future.

Hi @Jaime Capitel (resolution)

We think this is a solution, I will run tests with tryal.

I hava one more question, the APP is Free up to 10 users, right? Can we select the 10 users? Only the issue owners will have that option.

Regards.

Hi @Iago Rodrigues Salvadori ,

I'm glad I could be of help! Please consider accepting my answer so that others in the community can benefit from it.

Regarding the number of users, yes: all our apps are free for up to 10 users. However, you have to know that Atlassian will always count every active user in the instance to determine pricing, and we have no power to change that. To be perfectly honest, the pricing of the app is already set to be fair even accounting for that.

That being said, if pricing becomes an issue, you can always reach out with a support ticket, and we can discuss how we can help you get started. Alternatively, you can book a slot with me through calendly, I can show you around the app and discuss any doubts you may have.

Hi @Iago Rodrigues Salvadori

If you want to assign issues to individual users, you could do this via an automation rule.

Have a look at this documentation: https://support.atlassian.com/cloud-automation/docs/jira-automation-actions/

You can not assign issues to a group of users.

There are eight different options for assigning issues:

  • A user in a defined list: An issue that passes a restriction (specified in JQL) is assigned to a user from a specified list of users using the method of your choosing. This can be:
    • Balanced Workload: Ensures that each user in the list has the same number of issues assigned. The scope of these issues is defined by the JQL.
    • Random: Assigns randomly from the list of users.
    • Round-Robin: Assigns issues based on the sequence in the list of specified users.

Best regards,

Kris

Hello @Kris Dewachter

Thank you for your explanation.

But, I think I didn't explain it right. We need reassign the issues using balanced workload rule.

Example:

One user has 25 Issues open with in his responsibility but he is going on vacation.

So these issues should be distributed to the remaining users

Welcome to the Atlassian Community!

Jira rightly does not allow group or multiple assignees, so no, you can not assign issues to a group.  Of course, there is nothing wrong with having other fields to say "issue also belongs to a set of people/group/team", in case you can't find the assignee, or to determine who can be assigned, or just to tell you who else to talk to.

You can reassign issues en-masse using the bulk edit function, and that applies to other fields as well, if you're using a group, team, or list of users field to show other invested people.

Hello @Nic Brough -Adaptavist- ,

Thank you for your explanation.

How can reassign the issues using bulk edit function? Can reassignment use the balanced workload rule?

As I said, yes you can re-assign issues with bulk edit.

There is no "balanced workload" functionality in Jira though, it is a flat re-assign.
