Projects visible in the Jira Service Management Portal

Noemi Pallotti June 29, 2023

Good morning,

before asking for information in this community I inquired on other threads about Jira's functionality.

The problem for which I am asking you for support concerns the visibility of projects in the Portal. The Jira site in which all the projects are present has a single Portal with all the projects, I have already set them up with the option to add clients as administrator so that clients only see their own projects, however I should now add a new project in which I do not have the list of users enabled: any user can create a ticket.

If I create the project and limit the ticket creation to the list I set up, this is a problem. Is there any way to bypass the problem? Perhaps by providing only in that project the email domain of users who can see the project on the Portal and open tickets?

Thank you so much!

Hi @Noemi Pallotti

welcome to the community and thank you for your question.

Currently it is not possible to limit a domain to a single project in Jira.
But I guess I'm not a 100% sure, what the problem is.

You got lets say three projects with limited customer access and one project which is open for anyone. Thats actually how the JSM Portal can be set up. You could also prepopulate the customers in the open project with the lists from the others and still let other people in.

Maybe you could explain a little bit more? 🙂

Hi @Kai Becker

Thank you very much for your answer.
In fact I was not very clear in my explanation, I will try this way:
- Projects A, B, C are closed and visible in Portal only to customers invited by me -> these are three projects of three different companies for which we provide support
- Project D is open because anyone can open a ticket -> again this is another company.

All projects are in one portal, but everyone only has to see their own. If in the case of A, B and C I have the list of users who can open tickets, in the case of D I can't have it, since there are about 100,000 users. However, if I leave the project access to the portal open to open tickets, then customer A will also see D, as will B and C, whereas D will only see himself.
I need to not show D to the other three customers, but leave it open. I had assumed that I could use the e-mail domain of the users of company D, since they have a default one.

I hope I have explained myself better.
Thank you very much!

Hi @Noemi Pallotti

thanks for the explanation. Having D as a seperate customer project, which is open for anyone makes it quite complicated.

In my opinion, there is no solution to your problem using only one Jira site. Only thing I could imagine would be to import all of the 100k users into project D, but I guess they might change over time?

My best guess would be to put customer D in a separate cloud site, until there will be something like the distinct helpdesks per site.

Sorry 😕

Has there been any update/solution for this? We don't necessarily want an open portal, but we need the portal to be open in order to use the widget without a login.
