The Unified Workflow (5/5): From Happy Customer in Jira to a Case Study in Minutes

marketing-team-HubSpot-Jira-integration.png

We've reached the final chapter of our "Unified Workflow" series. Let's look at the incredible journey so far:

  • Part 1: A feature request from our Premium customer was captured.

  • Part 2: The Product team prioritized it using HubSpot data.

  • Part 3: The Dev team built the feature and fixed a bug with full context.

  • Part 4: The Sales team saw this progress in HubSpot and secured the renewal.

The customer is happy, the teams are aligned, and the business has won. This is the perfect recipe for a powerful case study. But how do we ensure this success story doesn't get lost in the shuffle?

TL;DR

  • Challenge: Marketing often misses opportunities for case studies because the handoff from Product or Sales is slow, manual, or non-existent.

  • Solution: Use a HubSpot-linked custom field in a marketing Jira project to create case study tasks with full customer context.

  • Benefit: Dramatically speed up the creation of success stories with all contact info and customer history just one click away.

  • Products: Jira, Confluence, HubSpot, HubSpot CRM Integration for Jira

Meet Mark from the marketing department. He knows the best marketing comes from real customer success, but his team is often the last to find out about it. By the time he hears about a happy customer, the details are fuzzy, and the momentum is lost.

The solution is to make the handoff to Marketing a seamless, final step in the workflow. With HubSpot CRM Integration for Jira, creating a marketing task is as easy as creating any other Jira work item.

Step 1: Identify the Success Story

Paul, the Product Owner, sees that Appsvio is delighted with their new feature and the quick bug fix. He knows this is a perfect story. He goes to the Marketing team's Jira project.

Step 2: Create the Case Study Task with HubSpot Context

Paul creates a new task with the summary "Draft and Publish Case Study for Appsvio". On the create screen, he uses the "Company" custom field. He starts typing "Appsvio," selects it from the HubSpot-powered list, and submits the task.

Creating a new task in a marketing project is simple. The "Company" custom field allows anyone in the organization to search and link a customer directly from HubSpot, ensuring no context is lost.

Step 3 (Bonus): Automate the Next Steps

This new task can even trigger an automation rule. For example, it could automatically create a new, pre-formatted page in Confluence for the marketing team to start writing the case study.

Closing the loop with automation. A Jira automation rule instantly creates this Confluence page, pulling the customer's name into the title and adding a direct link to their HubSpot record to kickstart the case study process.

The result?

Mark's team receives a perfect, actionable request. They don't have to email anyone to ask for the customer's contact details or company history—it's all just one click away in the linked HubSpot record. They can reach out to the happy customer while the success is still fresh, leading to more authentic and powerful case studies created in record time.

We've now connected all five teams—Service, Product, Development, Sales, and Marketing—into a single, cohesive, customer-focused workflow. From the first ticket to the final case study, every step is connected and enriched with data.
