Attachments now supported for customized emails in Automation!

Building on our Enhanced email customization capabilities available in Automation, we’re excited to announce that you can now add attachments to customized emails that are sent using Automation.

This capability will be available when using the Send customized email action as part of your Jira automation rules, and will become available for use in other Atlassian apps in the future.

What’s new?

  • Attachment support: You can now add up to 10 attachments ( with a total size of 4MB) to your automated emails.
  • Secure storage: All attachments are stored securely in Atlassian’s media platform, ensuring reliability and compliance.

  • Easy preview: Once uploaded, you can open a preview of an attachment by selecting a card in the Attachments field.

To add attachments to your automated emails:

  • Add the Send customized email action to an automation rule, then fill in the email details in the Settings tab.

  • Select the Content tab, then from the Attachments field browse or drop the files you want to attach to the email.

  • Select Update. When the rule executes, any uploaded files will be included as attachments in the emails that are sent.

 

Note that the rule must be saved or enabled before you can add attachments to the email action. Read more about the Send customized email action in Automation.

This unlocks a wide range of new possibilities for teams across your organization:

  • HR onboarding: Send welcome emails with attached checklists, benefits guides, or compliance forms.

  • IT & incident management: Distribute incident reports, troubleshooting guides, or policy updates.

  • Project management: Share project plans, status reports, or resource documents at key milestones.

  • Sales & customer communications: Attach contracts, proposals, or onboarding materials to customer-facing emails.

  • Legal & compliance: Send policy updates, regulatory documents, or signed agreements as part of automated notifications.

You can personalize each email using smart values, ensuring the right documents reach the right people, and streamline your workflows by automating the delivery of important resources - reducing manual effort and improving the experience for email recipients.

How will we be able to manage these uploaded files?
Once a file needs to be retired or replaced, will removing the action from my automation or added a new file to the action actively delete the old file?

Can I re-use the same file across multiple actions within the same automation rule, or will I have to add it to each send customized email action?

Similarly, can I re-use the same file across multiple automation rules, or must it be uploaded pr. rule/pr. action?

What would be great here would be the ability to dynamically reference smart values for an issue's attachments. i.e. sending an email containing all of the attached files on the issue rather than essentially a hardcoded attached file in the rule itself.

To delete a file from a rule, click the Trash icon on the file, then click Update to save your changes.

Currently, files are limited to the specific action they were uploaded to. Files cannot be reused across different actions or rules; you will need to upload the file separately for each action or rule where it is needed.
