Selecting users in the multiple select field in Forms, without them being in the project

Dear Community Members,

I have a question regarding forms, specifically related to the multiple user select field.

We've initiated a project in which we aim to grant a select group of individuals the ability to distribute hardware through a Jira portal. The recipients of this hardware vary but are all customers of Jira Service Management (JSM). However, we've observed that the multiple user select field in forms only displays users who are either part of or have access to the hardware project. Our preference is not to grant users visibility into the project, which rules out this option.

Is there a method to configure the field so that it displays all available customers without them requiring direct access to, or visibility of, the project?

Thank you for your help in advance.

Kind regards,

Faroek

Hi Faroek,

You could create a custom field of the type "User Picker - Multiple Users" and it will display all customers to choose from. I use a form, and I create a field in the form which I map to the custom user picker field I created and it allows for a customer to select other customers.

* One important note is your security settings. You must also have your customer sharing settings to allow customers to search for other customers within their project or organizations. This is found in the project settings under Customer Permissions.

Hi Marcus,

Thanks for your suggested solution. Unfortunately, it didn't work as expected. I had already set up a custom field using "User Picker - Multiple Users" and linked it in the form. But, I hadn't made changes to the "Customer sharing" option as you mentioned. To my disappointment, making that change didn't bring about any differences.

Appreciate your help and hope you maybe have a nother suggestion.

Kind regards,

Faroek

Hi Fabian,

Is your Channel Access set to Open? The setting is just above the previous setting I sent.

Hi Marcus,

Thank you very much that did solve the problem and now I can select every user I need. I do need to check the ramifications to opening up the channel but at least now we have a working solution.

Kind regards,

Faroek
