The Workday Integration BETA has begun!

Hello Community! šŸ‘‹

From today, we have begun the rollout of Workday Integration in Jira Service Management. Workday Integration can be used to streamline onboarding and enable seamless processes for HR teams and employees alike. You can choose to create an automation rule with a Workday trigger or action (or both). When used together, the Workday trigger and action will give you access to 32 worker fields! Visit our documentation for more details on how to setup and get the most out of these components.

1ļøāƒ£ Worker added to Workday Trigger

The Worker added to Workday trigger runs when a new worker has been added in your Workday instance. This can be useful for initiating an onboarding process for new hires by triggering workflows, sending welcome emails, and collaborating with other teams.

 

2ļøāƒ£ Retrieve worker details from Workday Action

4b41dda0-bfb5-42ea-8097-ed2c702c03fe.pngThe Retrieve worker details from Workday action allows you to retrieve certain details about an employee from Workday to use in your Jira project. This can be useful for streamlining your onboarding process and gathering employee details when resolving a query.

Note: This feature will be available for Premium and Enterprise Jira Service Management customers.

Let us know if you encounter any challenges during the setup or usage of these integration components. We are happy to assist and address any issues you may have! To report a problem, you can raise a support request or message us in the HR community group.

How to give feedback:
Have an idea on how to improve the experience? Or want to share how we can better support your needs? Simply raise a feature enhancement request via the portal, it’s the best way to share async feedback during the EAP.

Exciting update, @Michael Fedulov! šŸŽ‰ The Workday Integration feature sounds like a game-changer for HR teams. I love the idea of automating onboarding processes and having access to 32 worker fields for seamless workflows! šŸ‘

A couple of quick questions:
1ļøāƒ£ Will there be any pre-built templates for common onboarding workflows, or will users need to build them from scratch?
2ļøāƒ£ Are there plans to expand the integration beyond onboarding, like offboarding or employee status changes?

Answer: 
Absolutely! We are planning to add automation templates to help our users get started and share best practices. Please feel free to share any ideas about templates and use cases!

2ļøāƒ£ Are there plans to expand the integration beyond onboarding, like offboarding or employee status changes? 

Answer:Yes! We started with onboarding as it's one of the most common HR use case, but we won't stop there! Please share what other use cases you have in mind and where they sit in priority, and we will take that feedback into consideration!

It’s great to hear that automation templates are in the works! I’ll brainstorm some ideas and share use cases that could be helpful for the community. Templates can really speed up adoption, especially for teams new to automation.

Expanding to offboarding and employee status changes sounds fantastic! Offboarding workflows are often overlooked but are crucial for maintaining security and compliance.

Hi Michael - this seems like a great new solution for automation. Are we able to add more data fields in addition to the ones listed in the post here Use automation with Workday | Cloud automation Cloud | Atlassian Support through the integration?

For example we would like to bring some calculated fields in Workday through to Jira.

Hey Michael, This is a great feature release! Apologies for the long post.

I have some questions on the Workday Trigger.

Do we only have one trigger "Worker added to Workday" for now? 

Are we able to create Workday Trigger which would allow us to create issues/tickets in Jira from Termination, Request Time-Off etc. business process event subscription in addition to Hire event?

Use case as an example: Create a jira ticket on completion of the Termination business process in Workday using the new Workday Trigger feature? Also, is it possible to send values from calculated fields to populate fields of jira ticket?

Looks like as of now the available trigger smart values are below form workday's Hire business process event?

Trigger smart values

{{workday.worker.workdayId}} – Returns a worker’s Workday ID from Workday.
{{workday.worker.name}} – Returns a worker's first name from Workday.
{{workday.worker.startDate}} – Returns a worker's start date from Workday.
{{workday.worker.department}} – Returns a worker’s department name from Workday.
{{workday.worker.positionDescription}} – Returns a worker’s position description from Workday.
{{workday.worker.positionId}} – Returns a worker’s position ID from Workday.
{{workday.worker.employeeId}} – Returns a worker’s employee ID from Workday.
{{workday.worker.applicantId}} – Returns a worker’s applicant ID from Workday.

I would like to use this new Workday integration with JSM and test it :-) Do I need to join EAP? How can I request it? 

We would like to implement it and test as soon as possible :-)

We acknowledge that this is the first iteration and feedback like this really helps us to make further improvements.  

That's correct, currently this trigger is only supporting the new hire Workday event. We are looking at expanding this and adding support for other events. Are there any other events that you are interested in beyond Termination, Request Time? 

Currently these smart values are the only data that is made available in JSM.
